PubData is the platform for publishing materials created at Leuphana University – ranging from literary works such as books and dissertations to alternative formats like student film projects and academic posters. On this page, you can start your submission and find detailed information about the publishing process.

Who can publish on PubData?

Researchers, teaching staff, students, and cooperation partners of Leuphana are eligible to publish on PubData.

Please note the following requirements for dissertations, habilitation theses, and student materials:

Dissertations & Habilitation Theses

  • Authors have to complete the information listed in the confirmation of receipt.
  • In the case of cumulative dissertations, an additional confirmation from the examination committee is required (a template is provided in Appendix 8 of the doctoral regulations).

Student Materials

  • A recommendation for publication from the supervising or evaluating person is required. A template is available here
  • For qualification and examination papers, a grade better than 2.5 is required. This is also confirmed through the publication recommendation.

What can be published on PubData?

Digital publications can be uploaded to PubData – ranging from traditional literary publications like books, reports, and theses to alternative formats such as videos, posters, or educational materials. All content is expected to originate from research, teaching, or study activities at Leuphana and to be based on academic content. Please note: Publications should be suitable for long-term archiving, as deletions are not foreseen once published on PubData. See the PubData Collection Policy for full details.

Literary publications include the following types: Book, book chapter, report, conference proceedings, conference paper, journal article, journal issue, working paper, recension, dissertation, habilitation thesis, master thesis, bachelor thesis, study thesis and other textual publications.

Alternative formats include the following types: Poster, presentation, audiovisual, sound, image, dynamic/interactive web resource, lecture, teaching / learning materials, project proposal, technical documentation, annotation, musical composition, musical notation, cartographic material, software, design, trademark, patent, standard / norm, model, workflow, physical object, collection and other formats.

First or parallel publication?

  • First publication: You can publish materials on PubData that have not published elsewhere.
  • Parallel publication:: These are works previously published elsewhere (e.g., by a publisher). These can also be submitted via PubData. After submission, the PubData team will review whether and under which conditions a parallel publication is legally permitted. This includes checking for embargo periods (e.g., 12 months after initial publication), permitted versions (preprint, postprint, publisher's version), and allowable license options.

How to publish?

1.Submit your materials

Members of Leuphana can submit materials directly via the PubData website. Log in using your Leuphana account. If you do not have a Leuphana account or it is no longer active, you can register as an external user (Menu: Login → Register for external users). After logging in, follow these steps:

  • Choose a collection: Select whether you're submitting a literary publication or an alternative format. Choose the corresponding submit button. Subsequently, the formal submission process begins.
  • Upload files: Upload the files you wish to publish.
  • Select a license: Choose a reuse license for each file (see license info below).
  • Optional embargo: You may specify that your files are made publicly accessible only after a certain date has passed.
  • Select resource type: Choose the appropriate resource type for your material.
  • Enter metadata: Provide details such as title, authors, abstract, and keywords.
  • Sign publishing agreement:Agree to the terms of publication. You only grant non-exclusive rights to the Media and Information Centre (MIZ), allowing you to also publish your work elsewhere – provided you retain the necessary rights.

You can pause your submission at any time and continue later. A Digital Object Identifier (DOI) is reserved for your publication during the submission process, which you can insert into your document if needed.

2. After Submission

Once submitted, the PubData team reviews the information and files. If necessary, we will complete the metadata or add a cover sheet. Upon successful review, your work is archived and the DOI is officially registered. Your publication is then made publicly available on the PubData catalogue under the reuse terms you selected. To increase visibility, the publication is also indexed in various databases and search engines.

How can others reuse your publications? (Licensing)

All publications on PubData are freely accessible worldwide through the PubData catalogue. To inform others how your content may be reused, you select a license during the submission process. You can choose between traditional use under Copyright or a Creative Commons license.

Use under Copyright

This license allows others to download, save, print, and cite your publication. However, redistribution, public performance, or commercial use is not permitted without explicit permission from the rights holders. This license is suitable when redistribution is not desired, or if the material includes third-party content that cannot be licensed under Creative Commons. View full license text here.

Creative Commons licenses

PubData offers six Creative Commons licenses. These licenses extend basic copyright usage by allowing others to distributed and reproduced and in some cases adapt and commercially reuse the content. The scope of reuse depends on the license selected. Applying a Creative Commons license requires that authors hold full rights to the material and have not transferred exclusive rights to a third party (e.g., a publisher). We recommend CC BY 4.0, which provides maximum visibility and reuse potential. More about Creative Commons licenses here.

The choice of license depends on the rights held by the authors. For example, a cumulative dissertation that includes paywalled journal articles often cannot be published under a Creative Commons license in its entirety, as exclusive rights may have already been transferred to a publisher.
